HOMECOMING

  • Friday Night Concert
    • In Krannert Center at 7:30pm
    • Students only (top two concert bands and MI)
    • Concert is an attempt to encourage more Bands Alumni, especially those that were non-MI
  • Options for Schedule

ü  MI/Alumni need march together in parade

ü  Would we have enough people to do a drill in the afternoon to make it beneficial?

ü  Like the dinner with MI option

ü  Squeezing in another rehearsal is too much because of lack of time

ü  Instrument storage does need to be considered for after the parade (HBB is a great option)

ü  Reception is great, as long as it involves the families

  • Reception Options
    • Maureen was envisioning the reception just as a cocktail hour
    • Definitely we need to discuss the option of what to do for the reception
    • Rick suggested we need to consider a catered dinner option (like we have done), especially for families and people who have come to really like this

HOMECOMING

  • Financial
    • Revenue was $10,400 with expenses at $9,400
    • Waiting on golf carts (likely another $100)
    • Reception was more expensive than planned but we’re still in the black
    • A little over $5,000 in available funds in the account

ü  Future discussion is needed to decide if/how we can use this money

  • Survey
    • 225 people took the survey
    • Went to 7,000…3,000 opened…500 clicked through

ü  Overall seems the needs of the groups are being met

ü  Seems that people are very eager to play more, especially combining Alumni Band and MI

ü  Looking into a new venue for the reception to accommodating growing attendance

·         Make sure to allow for ALL alumni to listen to MI perform (and let them know how much the Alumni appreciate them and all they do)

ü  Devon thinks surveys will be very helpful to move forward

·         Better to send a survey to those who didn’t attend to see what we can do to get those members to return

  • Barry’s Thoughts
    • Potential for Spring Game to have Alumni and MI play together
    • Possibility of a combined Star Spangled Banner

ü  Continue to be limited based on the scripting of each game

ü  Possibly stage Alumni Band in the Horseshoe to allow for more playing time

·         Families would likely not be able to sit with the Alumni Band if moved

    • MI definitely wants to play for Alumni and could be the highlight of the weekend for everyone
  • Maureen’s Thoughts
    • Get the volunteers to help!

ü  Create specific committees and subcommittees to alleviate the board doing all the work AND use more of our Alumni to participate behind the scenes

  •  
    • Work on getting more playing time for the Alumni but know we won’t get as much as we used to
    • Focus lesson on hotels and parking as they don’t seem to be huge necessities

 

BANDS SPRING SEMESTER HIGHLIGHTS

  • Looking for someone’s help to better promote the Bands performances
  • February performance in suburbs as recruitment tool
  • Conducting symposium
  • Looking forward to the Sesquicentennial
    • Really hoping to get a concert band weekend for the Sesquicentennial
    • Possibility of a coffee table book or any other ideas to mark this important event

 

STUDENT OUTREACH

  • Maureen and Beth met with Beth Peterson and discussed ways to create more professional interactions/outreach between Alumni and undergrads

Post-Homecoming Meeting

HOMECOMING

  • Everything went well this year and was a great success
  • Survey
    • Maureen will work with Dale to get a survey out

ü  Lots of positive comments about the event

ü  Devon thinks surveys will be very helpful to move forward

·         Better to send a survey to those who didn’t attend to see what we can do to get those members to return

  • Barry’s Thoughts (Bands)
    • Overall a very positive experience for all
    • Barry and Steve have some expectations they need to meet for the University’s desires for the upcoming Sesquicentennial of the University (and then Bands)
    • Barry has spoken with Tom Caneva and Pete Griffin and both are very on board for coming back, as long as schedules permit
    • Barry is working with the game day schedule to allow Alumni Band to get more playing time during the game of Homecoming

ü  Seating will change greatly with the upcoming renovation of Memorial Stadium in the next few years

  •  
    • Continual communication to make sure the little details (music, drill, etc) get taken care of

ü  A little more detail needs to happen in terms of copies of music needed for Alumni

ü  The holders for the digital devices for music cost a little less than $20 each

ü  Bands will be keeping the current version in their inventory BUT are getting a new version as updates are made so the old ones can go to Alumni Band

  • Dale’s Thoughts
    • Just go to all digital music and make it the expectation
    • Work on getting more playing time for the Alumni but know we won’t get as much as we used to
    • Focus lesson on hotels and parking as they don’t seem to be huge necessities
  • Sarah’s Thoughts
    • Very appreciative of using the Bands Office space
    • Maybe we can turn the old flip folders/folios into Alumni Band property and we make that another responsibility of ours

ü  Not necessarily copy music but provide copies of the traditional stuff

  •  
    • Rehearsal was great and lots of improvement was heard and all eras were well represented
    • Registration was better organized this year and went a lot more smoothly

ü  Sarah has some ideas for how to make a few things better and is open to suggestions

ü  Maybe get some lanyards to use for name tags or to hold music

  • Rich’s Thoughts
    • Rich said someone he knows said she’s been out 10 years and feels like it’s still too soon to come back

ü  Beth has spoken with young Alumni and they say the same thing and many of them say, “It’s not the same.”

ü  Barry is working with Beth to get better communication with the younger Alumni to get them more interested in coming back

    • Would really like to see hats for Alumni Band
  • Kim’s Thoughts
    • Look at a few cost things for the reception to save some money
    • Young Alumni: Not really sure there’s one easy answer to solve this
  • Rick’s Thoughts
    • Lots of positive comments about the event
    • Bands staff is TREMENDOUS in their help that they provide
    • Recent Grads: How do we do a better job? What can we do to draw more?

ü  Friday rehearsal was great and did a nice job of representing the different eras

ü  Spoke with recent grads that were there but did not participate and they expressed they want to play more WITH the MI to bridge the gap more

ü  Uniform: great dislike for the khakis but what is the solution?

    • What would we do/how would Alumni Band look if Gary wasn’t able to participate?
  • Beth’s Thoughts
    • Biggest thing to work on is recruitment and Rick Johnson’s son will be assisting with this
  • Devon’s Thoughts
    • Everything was smooth for the Alumnettes and no real concerns
  • Dave’s Thoughts
    • Set-Up at Temple Buehl Hall: Maybe we can use down time between rehearsal and parade to do set-up
    • Alcohol cost was pretty expensive through caterer, how can we get the cost lower?
    • Some people were still complaining about the EDK/Gary “rift” and hopes people will let it go

ü  Gary did a nice job of bridging the gap with this

    • Attendance issues may be due to cost (hotel, registration, tickets, etc), especially for younger Alumni with families
    • Find a way for music/instrument needs to be sent to Bands immediately so they can get the information they need

INTRODUCTIONS

 

STEVE PETERSON STATE OF BANDS

  • Good year so far and settling into routines
  • Improvements at the building
    • Lights, Lockers, Updated Donor Board, Flat Screens in place of Bulletin Boards
  • ALL Bands are doing well, especially MI
    • MI wanted to travel this year but was unable to lock-in a school
  • 2017 Sesquicentennial of University
    • Wind Ensemble and Choir commissioned piece from $129K donation

ü  Orchestra Hall – February 18th

ü  Carnegie – TBD

ü  Final event at Krannert in May

  • 2018 Sesquicentennial of Bands
    • Large Alumni Concert Band
    • Try to push to get a bigger Alumni Band
  • Commission through other Illinois Alumni college band directors
    • Steven Bryant writing
  • Possible commission in conjunction with Canadian Brass
    • Likely on the next Canadian Brass CD
  • MI and Concert Band CDs coming out soon, likely during sesquicentennial
  • Alumni Board suggests Bands staff let the Alumni know what’s needed so Alumni can promote and assist

 

STUDENT REPORT – Hannah Drake

  • Mid-terms just ended so it’s a good time
  • Lots of performances, even today
  • Concert Band concerts are going well
  • Student body is happy and excited with all the opportunities

So I will need to know what people want to do and the breakdown of instrumentation.
